    This Privacy Policy explains what information Fightbook ("we", "us") collects, how we use it, and the choices you have. It applies to the Fightbook websites, mobile experiences, and related services (the "Services").

    1. Information We Collect

    We collect information in three ways: information you give us directly, information generated by your use of the Services, and information received from third parties acting on your behalf.

    Information you provide:

    • Account information: name, email address, phone number, date of birth, gender, profile photo, and (for fighters) athletic profile details such as height, weight, sport, experience level, fight record, weight class, and stance.
    • External identifiers you choose to share: USA Boxing ID, BoxRec ID, and similar regulatory or league identifiers.
    • Identity verification information submitted through our verification provider (see Section 4) when required for event participation.
    • Payment information that you submit through our payments processor when registering for an event or purchasing tickets. We do not store full card numbers — they are handled directly by Stripe.
    • Content you submit on the platform, including event flyers, profile photos, messages, and registration entries.

    Information generated by your use of the Services:

    • Activity data such as pages viewed, features used, search terms, and timestamps.
    • Device data such as IP address, browser type, operating system, and a device identifier used for push notification delivery.
    • Cookies and similar technologies used to keep you signed in, remember your active role, and measure product performance.
    • Weigh-in and medical clearance entries recorded at events you participate in (weight, blood pressure, heart rate, and free-text notes captured by event staff).
    • Location data tied to events you create or register for (venue address, latitude/longitude). We do not continuously track your device location.

    Information received from third parties:

    • Authentication state from Firebase Authentication when you sign in.
    • Identity verification results from our verification provider after you complete a verification check.

    2. How We Use Information

    We use the information described above to:

    • Operate and provide the Services, including matchmaking, event registration, weigh-ins, scoring, ticketing, and notifications.
    • Verify identity where required for event participation under federation or organizer rules.
    • Send transactional and service messages (e.g. registration confirmations, weigh-in reminders, fight-result emails).
    • Allow fighters, coaches, managers, organizers, and other authorized participants to contact each other about fight opportunities, scheduling, and event logistics. By creating a profile or using matchmaking features, you direct and authorize us to facilitate these communications.
    • Maintain audit trails for safety- and compliance-relevant actions (e.g. medical clearance, weigh-in, identity verification).
    • Detect fraud, abuse, and policy violations, and to enforce our Terms of Service.
    • Comply with legal obligations and respond to lawful requests.

    We do not sell your personal information.

    3. How We Share Information

    With other Fightbook users.

    Profile information you make visible (name, profile photo, athletic data, fight record, gym, sport profile) is shown to other users of the platform consistent with the role-based visibility model — for example, a fighter's contact information is shared with the managers, coaches, promoters, or other authorized participants reasonably necessary to discuss a fight opportunity, as further described in our Terms of Service.

    With service providers acting on our behalf.

    We use third-party processors to operate the Services. They access only the information needed to perform their function:

    • Firebase Authentication (Google) — sign-in, session management.
    • Amazon Web Services — hosting, file storage (S3), database (RDS), background job processing (SQS).
    • Stripe — payments, payouts, identity verification of organizer Connect accounts. Stripe is the processor of record for card transactions; full card numbers are never received or stored by Fightbook.
    • Veriff — identity verification when required for event participation.
    • Loops — transactional and service email delivery.
    • Pusher — real-time messaging and push notifications.
    • Google Maps Platform — venue geocoding and address lookup.
    • Hotjar — aggregate product analytics.

    Each provider processes data under its own privacy policy and our contractual terms.

    With event organizers and authorized staff.

    When you register for an event, the organizer (and the staff they assign on the platform — desk, weigh-in, medical, ringside) receive the registration details, weigh-in result, and medical clearance state needed to run the event safely.

    For legal reasons.

    We may share information when we believe in good faith that disclosure is required to comply with law, enforce our Terms, prevent fraud or harm, or respond to valid legal process.

    In a business transition.

    If Fightbook is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will give you notice before your information becomes subject to a different privacy policy.

    4. Identity Verification

    Some features (e.g. registering for sanctioned amateur boxing events) require identity verification through our verification provider. The provider receives the data you submit (typically a government ID image, a selfie, and demographic details) and returns a verification result and risk signals to Fightbook. We retain only the result and a reference to the verification session, not the underlying ID images. The provider's handling of the underlying images is governed by its own privacy policy.

    5. Payments and Refunds

    Payments for tournament registration fees and event tickets are processed through Stripe. Fightbook is the merchant of record for the buyer; the funds (less Fightbook's platform fee and Stripe's processing fee) are settled to the event organizer's Stripe-connected account. All sales are final — refunds are not provided through the Fightbook platform. Disputes and chargebacks are handled through Stripe's standard process.

    6. Cookies and Tracking

    We use cookies and similar technologies to keep you signed in, remember your selected role, and measure how the Services are used. You can configure your browser to reject cookies, but parts of the Services may stop working if you do. We do not use cross-site advertising trackers.

    7. Communications and Consent

    We send transactional and service-related communications (e.g. registration confirmations, fight-day reminders, weigh-in notices). Where required by law, we obtain additional consent for specific channels — for example, separate consent for SMS message delivery or marketing newsletters. You can change your communication preferences from your account settings, and you can unsubscribe from non-transactional emails at any time using the link in the email.

    8. Data Retention

    We retain account and profile information for as long as your account is active and for a reasonable period afterward to support reactivation and to comply with legal, accounting, and audit obligations. Event-specific records (registration, weigh-in, medical clearance, fight result) are retained on the event for the lifetime of the event record; deleting your account does not remove these from past events you participated in, since they form part of the event's historical record.

    9. Your Rights

    Depending on your jurisdiction, you may have rights to:

    • Access the personal information we hold about you.
    • Correct inaccurate information.
    • Request deletion of your account and associated personal information, subject to the retention exceptions in Section 8.
    • Object to or restrict certain processing.
    • Request portability of information you provided to us.

    To exercise these rights, email us at the address in Section 13. We may need to verify your identity before acting on a request.

    10. Children

    The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Some events on the platform are run for amateur fighters under 18; in those cases, the fighter's coach or legal guardian creates and manages the fighter's profile in accordance with USA Boxing or the applicable federation's rules.

    11. International Users

    Fightbook is operated from the United States, and our service providers (Section 3) primarily process information in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those of your country.

    12. Security

    We use administrative, technical, and physical safeguards to protect your information, including encryption in transit, access controls on production systems, and least-privilege access for employees. No system is perfectly secure; we cannot guarantee that information will never be accessed in an unauthorized way.

    14. Changes to This Policy

    We may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects when the most recent change took effect. Material changes will be communicated through the Services or by email; your continued use of the Services after the effective date constitutes acceptance of the updated policy.
